Create a ticketed event, set up free and paid tiers, approve bank-transfer receipts and check people in with QR codes at the door.

How to sell tickets for a watch party, LAN or meetup on ESPODIUM

Approved organizers can sell or give away tickets for any in-person or online event on ESPODIUM. You create the event at /events/create, add one or more ticket tiers (free or paid in RM), and publish. Buyers get a ticket with its own QR code, and your door staff scan it at /events/{your-event}/scan on any phone.

Before you start

Only members of an approved organizer, or ESPODIUM admins, can create ticketed events. Anyone else who opens /events/create sees "Organizer access needed". Apply as an organizer first, from the Organizer tab of your profile, and wait for approval.

Buyers need an ESPODIUM account too. Anyone who presses Buy tickets or Claim ticket while signed out is sent to sign in first.

Step 1: Create the event

Go to /events and press Create an event, or open /events/create directly. The form has these sections.

Event details

  • Title, for example "Gamefest 2026 Watch Party".
  • Event code: 3 to 6 uppercase letters or digits, such as GF26. It starts every ticket ID.
  • Event type, and the Organizer the event belongs to. Leave Organizer unset to run it as a personal event.
  • Linked tournament (optional). More on this below.

Date and time. Starts and Ends, entered in your device's timezone. Check-in opens sets how many hours before the start the door scanner starts accepting tickets, from 0 to 72. The default is 3 hours.

Location. Choose In person (venue name, maps link and address) or Online (a join link). An online event keeps its join link private: ticket holders see it on their ticket when the event opens, and pressing Join event checks them in.

Listing. A description, a cover image and a Refund policy line, such as "Full refund until 48 hours before the event".

Schedule days and Agenda (both optional). Add days for a multi-day festival so passes can name them, and agenda items such as doors, group stage and finals. Attendees read the agenda on the event page.

Step 2: Set up ticket tiers

Press Add tier for each kind of ticket. Each tier has:

Two switches sit under each tier:

  • Visible on the event page. Turn it off for a tier you only hand out yourself, such as a player pass.
  • Allow receipt transfer. Turn it on to accept bank transfers alongside online payment.

A tier that has sold tickets cannot be deleted. Hide it instead.

Ticket IDs follow the pattern event code, tier code, then a seven-digit number, for example GF26-VIP-0000001. That ID is printed on every ticket and works as a fallback when a QR code will not scan.

Step 3: Publish

Save draft keeps the event private. Publish event puts it on the events page and opens sales. You can come back later with Edit event on the manage page.

Published events appear on /events, which also has a calendar. Tournaments are events too, so the calendar shows tournaments from every game alongside ticketed events, with filters for Events and Tournaments.

How buyers pay

On the event page, each visible tier shows its price, a quantity picker and the tickets left once 20 or fewer remain.

  • Free tiers. The buyer presses Claim ticket and the tickets go straight to their wallet at /me/tickets.
  • Online payment. Buy tickets sends the buyer to a CHIP checkout page. The tickets are held for 15 minutes while they pay, and issued as soon as the payment is confirmed.
  • Bank transfer. With Allow receipt transfer on, a paid tier also shows Pay by transfer. The buyer has 30 minutes to upload a receipt (JPG, PNG, WebP or PDF, up to 8 MB). Once uploaded, the order waits for your review.

ESPODIUM does not show your bank details on the order page. It tells the buyer to transfer the total to the organizer's account, so put your account details in the event description.

Step 4: Approve receipts within 48 hours

Open your event's Manage page and go to the Orders tab. A badge on the tab counts receipts waiting. Under Receipts to review, each order shows the buyer, the quantity, the tier, the total and a View receipt link.

  • Approve issues the tickets to the buyer.
  • Reject asks for a reason, which the buyer sees, and releases the held tickets.

This step has a deadline. An uploaded receipt keeps the order open for 48 hours. If nobody approves or rejects it in that time, the order expires and its tickets go back on sale. Nothing on the site revives an expired order, even if the buyer did pay. Check the Orders tab at least once a day while sales are open.

The manage dashboard

The top of the manage page shows Tickets sold, Checked in, Revenue and Completed orders, plus buttons for Scanner, Export CSV and Edit event. The tabs are:

  • Tiers: sales per tier.
  • Attendees: every ticket, with search. You can Assign seat to give a ticket a free-text seat label such as "A5" or "Hall A · D5", and check someone in by hand.
  • Orders: the review queue and recent orders. Managers can refund an order here. Orders paid through CHIP are refunded through CHIP; bank-transfer refunds are only marked on ESPODIUM, and you return the money yourself.
  • Staff: add people as Scanner or Manager. The event creator is always a manager.

At the bottom, Cancel this event stops sales, voids every ticket and refunds all paid orders. It cannot be undone.

Free tickets for your tournament's players

If your event is the venue for a tournament you run, such as a LAN final, set Linked tournament on the event. The manage page then shows Issue tickets to the tournament roster. Pick a tier and press Issue to roster: every confirmed player, captains included, gets a free check-in ticket.

It is safe to run again after more teams register, because anyone who already holds a ticket is skipped. The tier needs enough tickets left for the whole roster, so a hidden free tier with spare quantity works well. You can only link a tournament you manage.

Checking people in at the door

Open /events/{your-event}/scan, or press Scanner on the manage page. Only event staff (managers and scanners) can open it. Each phone uses its camera, and phones that support it get a Torch button for dark halls.

Every scan shows a full-screen verdict:

  • CHECKED IN: let them in.
  • ALREADY CHECKED IN: the ticket was scanned before. The scanner shows when, and by which staff member.
  • WRONG EVENT, INVALID CODE, refunded or voided tickets: do not admit.
  • CHECK-IN CLOSED: outside the window, which runs from your Check-in opens time until the event ends.

Two scanners on the same ticket cannot both admit it: exactly one gets CHECKED IN. If a QR code will not scan, use Enter ticket ID manually and type the ID printed on the ticket. If the venue's connection drops, the scanner says so; note ticket IDs on paper and enter them later. Scanners can undo their own scans within 5 minutes.

Each ticket checks in once.

Limits worth knowing

  • Prices are in RM only.
  • Up to 20 tickets per order, and per-user limits of 1 to 20 per tier.
  • Seats are labels you assign, not a seat map buyers pick from at checkout.
  • One tier per order: to buy two kinds of ticket, a buyer places two orders.
  • Receipts expire after 48 hours unreviewed, as above.

Next steps

  • Get approved as an organizer.
  • Create the event at /events/create and save a draft.
  • Add a free tier, a paid tier, and a hidden player tier if you have a linked tournament.
  • Decide whether to allow receipt transfers, and put your bank details in the description if you do.
  • Publish, then add your door team under Staff.
  • On the day, test the scanner on one ticket before the doors open.
